How to Reconcile The Hartford Commission Statements: Step-by-Step Guide

A practical guide to locating The Hartford commission reports, comparing policy-level amounts, resolving discrepancies and organizing producer payouts—with verified carrier references and a clear worked example.

Based on public carrier documentation. Restricted portal screens, export formats and actual commission schedules vary by agency.

1. Locate the correct The Hartford commission statement

What The Hartford publicly documents: The Hartford documents a Download Program that sends monthly commission statements for supported direct-bill commercial and personal lines, plus certain payroll-billed workers' compensation policies, to agency management systems. Its documentation says commission statements generally arrive on the first business day of the month. Its Electronic Business Center (EBC) is an authenticated producer portal.

Start with The Hartford Electronic Business Center (EBC) ↗ and sign in using your agency's authorized credentials. Find the reporting or compensation resources available to your appointment. If a monthly statement is downloadable, preserve the original file before changing anything. Otherwise ask your carrier representative or agency administrator which report applies to your agency code.

The Hartford's Download Program lists exceptions by product and geography; not every policy or state is covered. Check whether your agency receives the supported download feed and obtain unsupported statements separately.

Capture the statement date, reporting period, agency or producer code, writing company, and total. If your agency has multiple codes or legal entities, reconcile those statements independently before consolidating the results. Preserve the original source and record who downloaded it and when.

2. Export your expected commission records

Export policy-level records from your agency management system or internal ledger. Include carrier, writing company, policy number, insured or account identifier, transaction type, effective date, expected commissionable premium, applicable commission schedule, expected commission amount and producer assignment.

Separate new business, renewals, endorsements, cancellations, rewrites and corrections. A policy can appear multiple times in one period for legitimate reasons. If your expected file contains only policy totals, document any aggregation needed to compare against statement transactions.

Use the applicable agency agreement, line of business and policy effective date when estimating commission. An illustrative flat percentage is not evidence of the carrier's actual contractual rate. Where the commission schedule is unknown, flag the item for review rather than guessing.

3. Normalize the statement and match policy transactions

Save a working copy of your carrier statement. Normalize dates, currency, negative values and policy identifiers, but preserve the source values. Treat policy numbers as text so that leading zeros do not disappear. Map fields according to the actual file you receive; do not assume the statement uses a universal carrier column layout.

The Hartford-specific checkpoint: Do not combine base commissions with contingent or supplemental compensation in one expected-policy-commission formula. The Hartford documents all three categories and says contingent or supplemental compensation may be paid separately.

Match records using a defensible combination of carrier or writing company, agency code, policy number, transaction type and statement period. If a rewrite or endorsement changes an identifier, inspect supporting policy documents before treating the records as the same transaction.

Keep unmatched expected rows separate from unmatched carrier rows. A missing expected payment could reflect a timing difference, while an unexpected carrier row could be a correction from an earlier period. Both require investigation before adjustment.

4. Calculate expected versus reported commissions

This table is a fictional teaching example, not an actual The Hartford statement or a representation of The Hartford's commission rates. It demonstrates the arithmetic of policy-level reconciliation.

PolicyTransactionPremiumRateExpectedReportedVariance
EX-1001New business$1,20012%$144.00$144.00$0.00
EX-1002Renewal$1,50010%$150.00$120.00$30.00
EX-1003Cancellation——-$45.00-$45.00$0.00

Use a consistent sign convention: expected commission minus reported commission equals variance. In the example, policy EX-1002 shows a positive $30 variance ($150 expected less $120 reported). Check the premium basis, actual contractual rate, billing status and posting period before labeling the difference an underpayment.

Policy EX-1003 is a negative $45 cancellation adjustment on both sides of the ledger. Because it matches, the negative amount is not itself an error. If one policy has multiple legitimate installments, compare the proper grouped total and retain links to the underlying rows.

5. Investigate exceptions instead of assuming the carrier is wrong

Classify discrepancies as unpaid or late expected items, unexpected payments, amount differences, cancellations or chargebacks, duplicate-looking entries, and timing differences. Each exception should have an owner, supporting evidence and a follow-up date.

Start with policy history and endorsement records, then check the statement cycle and applicable compensation agreement. Confirm whether the carrier pays on written, earned, billed or collected premium for the relevant product. If a payment appears late, compare prior and subsequent statement periods before submitting a dispute.

Send a concise inquiry to carrier compensation support with the agency code, statement date, policy reference, transaction type and dollar variance. Keep personal policyholder information out of unsecured correspondence. When a later correction arrives, link it to the original exception rather than treating it as unrelated revenue.

6. Tie statement totals to remittances and deposits

Sum the statement's positive and negative commission lines to confirm its net total. Compare that net total to the carrier's remittance advice and corresponding bank activity. Do not assume that every statement is paid on the same day it is generated or that one deposit always equals one statement.

Keep base policy commissions separate from bonuses, contingencies, incentive payments and unrelated adjustments. If a carrier combines multiple agency codes or reporting periods into one remittance, prepare a documented bridge between statement totals and the bank deposit.

Do not change policy-level expected values merely to make a bank deposit match. Preserve differences as open reconciling items until the underlying timing or transaction is explained.

7. Calculate producer splits and close the month

Once you have verified carrier-paid amounts, apply the producer split agreement in effect for each transaction. Different agents or lines of business may have different percentages, and some agreements treat chargebacks differently. Do not retroactively apply today's default split to historical transactions.

Save the source statement, expected ledger, mapping notes, reconciled report, open exception log, remittance comparison and payout approval. Carry unresolved items into the next review with a status and responsible person. This audit trail makes a later carrier inquiry or producer dispute much easier to resolve.

Review the same exception categories across all carriers, but preserve each carrier's actual commission rules and reporting details. A consistent process is valuable; pretending all carriers use identical statements is not.

Using SplitVerde for The Hartford reconciliation

SplitVerde is designed for the expected-versus-actual comparison at the heart of The Hartford commission reconciliation. It supports CSV, Excel and supported text-based PDF commission statement imports, with field mapping or manual review when necessary. It can help organize discrepancies, commission schedules and producer payouts.

SplitVerde does not claim a direct The Hartford carrier API integration, universal support for every The Hartford export, or compatibility with image-only scanned PDFs. Test a representative statement against your agency's expected ledger and verify a few known transactions before expanding the workflow.

That is the practical value of reconciliation software: less repeated data preparation and more time spent on the exceptions that actually matter. Carrier contract interpretation, payment confirmation and final approvals still require human review.

Frequently asked questions

Does The Hartford offer monthly commission statement downloads?

Yes, its published Download Program describes monthly commission statements for supported direct-bill business and certain workers' compensation payroll-billed policies, with product and geographic exceptions.

Can SplitVerde automatically read every The Hartford commission statement?

No. Supported CSV, Excel and text-based PDF files can be imported, but some layouts require mapping or manual review. Direct carrier integration and scanned-PDF support are not guaranteed.

Does an unmatched expected commission prove an underpayment?

No. Investigate payment timing, premium collection, agency code, contract rules and policy adjustments before making that determination.

How often should I reconcile statements?

Use the carrier's statement and payment cadence. A monthly review is a useful baseline for many agencies, with timely follow-up on high-value exceptions.
