How to Reconcile Foremost Commission Statements: Step-by-Step Guide
A practical guide to Foremost commission reconciliation: locate your authorized reports, compare policy transactions, investigate discrepancies, and close the month with a clear audit trail.
Based on publicly accessible carrier documentation. Actual agency-specific reports, formats and rates may vary.
1. Obtain the correct Foremost compensation statement
Where to begin: ForemostSTAR agent portal and applicable program administrator. Foremost publicly offers commission data downloads for certain agency management systems, including Applied, AMS and Ebix. Its collectible-auto program uses J.C. Taylor, which handles commissions and provides monthly statements. These are distinct reporting paths; identify the actual product and program administrator before exporting.
Do not assume every Foremost policy uses the same commission statement or that data download is supported by every management system. Foremost's data-download page lists supported systems and J.C. Taylor handles its collectible-auto program.
Confirm the agency code, producer or writing code, reporting period, legal writing company, transaction date range and statement total. Save the original report and a record of the download date. When multiple reporting systems or appointments apply, collect each relevant statement separately.
If you cannot find the report, ask your agency administrator or carrier compensation contact for the authorized reporting location and available export format. A missing portal permission does not prove the carrier failed to pay.
2. Prepare an expected-commission ledger
Export policy-level records from your agency management system or internal commission tracker. Capture policy number, insured or account identifier, writing company, agency code, line of business, transaction type, effective date, commissionable premium, expected commission rate and amount, and assigned producer.
Use the contract schedule applicable to the actual product, agency and transaction period. New business, renewals, endorsements, cancellations, rewrites and reversals can have different commission treatment. Do not assume that the premium written on the declarations page is always the premium basis used for the current commission cycle.
Keep policies with unknown expected rates in a review queue instead of filling in an invented rate. When an agency has several commission arrangements with one carrier, label them before comparing totals.
3. Normalize the data before matching
Preserve the raw carrier statement. In a working copy, map the real column names to policy identifier, date, transaction type, amount, agency code and carrier. Convert currency and dates consistently while retaining the original values. Keep policy identifiers as text so leading zeros survive.
Match on a combination of policy number, writing company, agency code, transaction type and reporting period where possible. A policy can legitimately appear more than once for an endorsement, installment, renewal or cancellation. Do not delete rows solely because the policy number repeats.
Foremost-specific check: Group Foremost Choice, Signature, 5.0, Bristol West and specialty programs by writing company and administration channel. A J.C. Taylor collectible-auto statement may need separate treatment.
Keep unmatched expected transactions separate from unmatched carrier transactions. A missing expected row may be a timing issue; an unexpected paid row may be a correction to an older policy. Both need investigation.
4. Compare expected and paid commissions: worked example
The following is a fictional teaching example, not a real Foremost commission statement or verified Foremost commission schedule. The rates are illustrative only.
| Policy | Type | Premium | Rate | Expected | Reported | Variance |
|---|---|---|---|---|---|---|
| DEMO-101 | New | $1,200 | 12% | $144.00 | $144.00 | $0.00 |
| DEMO-102 | Renewal | $1,500 | 10% | $150.00 | $120.00 | $30.00 |
| DEMO-103 | Cancellation | — | — | -$45.00 | -$45.00 | $0.00 |
Calculate variance as expected minus reported. Policy DEMO-102 has a $30 positive variance ($150 expected less $120 reported). That is an exception to investigate, not proof that the carrier owes $30. Confirm actual premium basis, rate, transaction status and payment timing.
The negative $45 cancellation row is expected and reported in the same amount. A negative commission can be legitimate. If one policy has several payment installments, group the appropriate transactions and retain the underlying references rather than forcing a one-to-one match.
5. Investigate discrepancies and chargebacks
Sort exceptions into missing expected commissions, unexpected carrier payments, rate differences, premium differences, cancellations, chargebacks, duplicate-looking transactions and timing differences. Record the suspected cause, assigned reviewer, evidence and next follow-up date.
For suspected underpayments, check endorsements, policy billing and payment status, prior statements, producer agreements and the actual carrier schedule. For negative adjustments, locate the original positive payment and any cancellation or rewrite. For an apparent duplicate, compare posting dates and transaction references before removing anything.
When asking carrier support to review an item, supply the agency code, policy reference, reporting period, expected amount, reported amount and concise explanation. Avoid sending unnecessary customer information through unsecured channels.
6. Tie the commission statement to actual deposits
Sum positive and negative statement transactions to verify the net amount. Compare that net with the remittance advice and the bank deposit for the relevant payment cycle. Do not assume one deposit always corresponds to exactly one statement or agency code.
Separate policy commissions from non-policy compensation such as bonuses, incentives and contingent payments when applicable. Document legitimate timing differences and offsets rather than adjusting individual policy amounts to force a deposit match.
If a correction is paid in a later period, link the later payment to the original exception. Keep both statement references so the audit trail is complete.
7. Calculate producer splits and close the period
After verifying carrier-paid amounts, apply the producer split agreement that was effective for each transaction. Split rules may differ by line of business, new business versus renewal, and treatment of chargebacks. Preserve prior agreement versions for historical reconciliation.
Save the carrier statement, expected ledger, field mappings, reconciliation results, exception log, deposit comparison and payout approvals. Carry unresolved exceptions forward with owners and dates. A completed monthly review does not require every exception to be resolved immediately.
A repeatable workflow across carriers is useful, but never erase real differences between carrier contracts, commission reporting systems and compensation categories.
How SplitVerde helps with Foremost reconciliation
SplitVerde supports CSV, Excel and supported text-based PDF commission statement imports, with mapping or manual review as needed. It helps compare expected and reported amounts, review discrepancies, and organize producer payouts. Start with one representative period and validate a few known policy transactions before expanding.
SplitVerde does not claim a direct carrier API integration, universal support for every carrier-specific file layout, or extraction from image-only scanned PDFs. Human review is still required to interpret contract terms, confirm a payment is owed and approve producer compensation.
Use the 7-day trial to test whether your actual source files and expected ledger fit the workflow. It is more useful to validate your real data than to rely on generic marketing claims.
Frequently asked questions
Where do I find Foremost commission statements?
ForemostSTAR agent portal and applicable program administrator. Do not assume every Foremost policy uses the same commission statement or that data download is supported by every management system. Foremost's data-download page lists supported systems and J.C. Taylor handles its collectible-auto program.
Can SplitVerde automatically import every Foremost statement?
No. CSV, Excel and supported text-based PDFs can be imported, but some formats require mapping or manual review. Universal compatibility and direct carrier integrations are not promised.
Does an unmatched policy mean Foremost underpaid me?
Not necessarily. Verify billing, transaction type, payment period, writing company and commission schedule before concluding a payment is missing.
How should I handle a chargeback?
Record the negative transaction, link it to the original commission where possible, check the cancellation or endorsement and apply the correct producer agreement before changing a payout.
